Square Lens Alliance is a network of creative and film professionals in the north of England. The data for Square Lens Alliance is managed by Flying Duck Studio Lab Ltd, a company registered in England and Wales (company number 14254195), with its registered office at 10 Princess Street, Hebden Bridge, HX7 8HG.

Flying Duck Studio Lab Ltd is the controller of the personal data described in this policy and is registered with the Information Commissioner’s Office (ICO) under registration number C2050446.

Equality monitoring questions, where asked, are always optional. When we report to funders, we use anonymised or aggregated figures. We do not sell personal data.

3. Who can see your data

Flying Duck Studio Lab Ltd manages Square Lens Alliance’s databases. The founding members who help run the network (Alixe Lobato, Dave Hackney, Laura Channing and Dawn Feather) can see membership and community form responses, only to run the network.

We use these service providers, who process data on our behalf:

  • Website: Framer

  • Forms: Google Forms and Notion

  • Contact management and newsletter: HubSpot

  • Document storage: Google Drive (Google Workspace)

  • Event tickets and donations: Eventbrite

We share data with funders only where needed to report on a project, normally in anonymised form. We may also share it where the law requires it or to protect someone from harm.

4. International transfers

Some of these providers, including Google, HubSpot, Notion, Framer and Eventbrite, may process data outside the UK, for example in the United States or the EU. Where this happens, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.

5. How long we keep data

  • Membership records: while you are a member and for 2 years after you leave

  • “Meet the Community” profiles: until you ask us to remove them

  • Event registrations: 2 years after the event, unless a funder requires longer

  • Donation and payment records: 6 years after the end of the financial year they relate to

  • Newsletter: until you unsubscribe

6. Cookies

This website is built on Framer and uses only the cookies needed for it to work, plus privacy-friendly visitor statistics. Embedded content such as videos or forms may set their own cookies.

7. How we protect data

Data is kept in access-controlled systems, with multi-factor authentication where available. Access is limited to the people listed above. If a data breach is likely to put your rights at risk, we will report it to the ICO within 72 hours and tell you without undue delay where the risk is high.

8. Your rights

You have the right to access, correct or delete your data, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent at any time. To make a request, email contact@flyingduckstudiolab.co.uk. We will reply within one month and will not normally charge.

9. Complaints

If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, 0303 123 1113.

10. Changes to this policy

We review this policy at least once a year. If Square Lens Alliance becomes an independent organisation, we will update this policy and tell members who the new controller is.
